Book time

A booking sets aside part of a person’s time with no estimate behind it: onboarding, support, a space they are on for the quarter. It adds hours to their weeks in the plan, so a person who does not estimate in hours still shows how full they are.

Book time

Press Book time above the plan, or on a person’s row once it is opened, and fill in the dialog:

  • For. The person, or a placeholder. From a person’s row it opens on them.
  • What for. Your own words, such as Onboarding, or the key of a space, an epic or a work item. A key is checked in Jira as you; if Jira cannot find it, Workline says so and nothing is saved. A placeholder is booked on a space, an epic or a work item, not on words.
  • From and To. Days, both included.
  • How much. A share of their time, from 1 to 100 percent of each working day, or hours a week, from 0.25 to 168 in quarter hours.

A grey line under the amount works it out, such as 20h a week of Ada’s 40h, 60h in all. Book saves it.

The Book time dialog filled in: For a person, What for Onboarding, From and To days, How much set to a share of their time at 50%, and a grey line under it working out the hours a week and in all, with Book and Cancel.

Where the hours fall

The hours fall on the person’s working days from the first day to the last, from today on: what is left cannot be done in the past. A share is a part of each working day’s hours. Hours a week are shared evenly over the working days of their week, so a four-day week gets a quarter a day. Holidays and time off give no hours, as they do for estimates.

The larger of the two

A booking on a space, an epic or a work item does not add to the estimated work in it. Each week it counts the larger of the two, never both: a person booked 20h a week on an epic with 12h of estimated work in that week shows 20h, not 32h. Each estimate is set against one booking only, the narrowest: a work item, then an epic, then a space. A booking in your own words adds all of its hours.

A booking on a space, an epic or a work item counts where the plan covers it: a space’s tab for that space, the spaces you pick, or a filter or JQL search that reads a work item in it.

Tentative bookings

Tick Tentative in the dialog for time that is not certain yet. Its line on the plan carries a Tentative lozenge. The Include tentative filter, on by default, counts tentative bookings with the rest; switch it off and their hours count nowhere on the plan: not in the cells, the Total, the counts, the rows by role, epic or space or the downloads, and their lines are not listed. The filter is drawn only where a tentative booking counts in the plan. Switch it off to see the plan you can be sure of, on to see it with what you hope for.

The work item panel, the Details column, the gadget and the Move dialog always count tentative time: a figure that left out half-promised time would understate the week.

On the plan

Open a person to see a line per booking, after their work items: what it is for (a key is a link), the lozenge Booked 50% or Booked 20h a week, and each week’s added hours, small and grey. Hover a week to see how much of it is estimated work already. Under it, its dates. Hover the lozenge to see who booked it and when, and who changed it last.

Open the line’s menu (⋯): Edit opens the dialog again. Delete removes the booking and its hours leave the person’s weeks. A person with a booking that counts has a row, with or without work. A booking wholly in the past, or after the weeks shown, adds nothing to them and is not listed.

Who can book

Everyone who can open Workline, until a Jira admin narrows it to chosen groups. See Settings. Someone who cannot book sees no Book time, Edit or Delete.

Bookings are kept in Workline’s own storage on Atlassian and never written to a work item. See What is stored.
