HelpThe plan

The plan

The plan is one row per person and one column per week. Each cell is the hours planned for that person that week, with the share of the hours they can work as a lozenge.

Apps › Workline, the plan for eight weeks: a row per person and a column per week, each week’s planned hours with the share of the hours that person can work as a lozenge, green to 100%, yellow to 120% and red past it, then Total and Unscheduled columns. One person is over capacity next week in red, one has a week off, one works part-time, and a placeholder row for a hire starts on 30 Nov. Above the table, the counts of people over capacity and with time free, the filters with Book time and Placeholder, and a work item past its due date to check.

Reading the table

  • Weeks. 4, 8, 12 or 26 weeks, from the current one. A week’s header names its days, such as 2–8 Nov.
  • The lozenge. The planned hours against the hours the person can work that week: green up to 100%, yellow up to 120%, red past it. Hover a lozenge for the figures.
  • Off. A week with no working hours for a person (all leave, or not a working day) says Off instead of a share.
  • This week. Planned for the rest of the week, against the hours left to work in it.
  • Total. The hours planned across the weeks shown, against the hours the person can work in them.
  • Unscheduled. The remaining estimates of work items with no dates and no sprint. They are not placed in any week. Press a person’s figure to have Workline suggest dates: see Plan unscheduled work.
  • The counts. Above the table: the people over capacity in at least one of the weeks, and the people with time free in every one of them. Press Over capacity in the filters to show only the first.

Where planned hours come from

  • The hours. The remaining estimate of each open work item. When Jira has no remaining estimate, the original estimate less what was logged.
  • The weeks. The hours are spread over the work item’s start and due dates. Without them, over its sprint’s dates. Always from today on: the past is not planned.
  • A start date alone is worked at the person’s own hours a day, from the start.
  • No dates, no sprint: shown as Unscheduled.
  • Past its due date or its sprint’s end: planned for today and marked Late, listed in an amber box, Check these work items.
  • A parent and its children that both carry a remaining estimate: the children’s count, and the parent’s own value is named in a grey line under the table, so you can see what was left out.
  • Bookings add hours with no estimate behind them. On a space, an epic or a work item a booking counts the larger of it and the estimated work in it, week by week, never both. See Book time.
  • Work with nobody assigned is in no one’s row. A grey line under the table says how many work items and how many hours.

Hover a planned cell to see where its window came from: its start and due dates, the dates of its sprint, or the person’s hours a day from its start date.

A person’s work items

A person’s row opened in the Workline plan: their work items listed under their name, each with its planned hours in each week and in total and the one with no dates in the Unscheduled column, then their Onboarding booking and Open in Logline.
A person’s row opened to their work items, each with its hours in each week

Open a person’s row to see their work items, each with its hours in each week and in Total and Unscheduled, then a line for each booking. Open a work item’s menu (⋯) and press Move to give it to someone with room: see Move work. The row ends on Open in Logline, which opens the hours that person logged in these weeks, in Logline.

Placeholders

A placeholder is a row for someone you have not hired yet, after the people, counted in the Total row and in the counts. See Placeholders.

Filters

  • Team plans one team: every member gets a row, with or without work. See Teams.
  • Weeks is 4, 8, 12 or 26.
  • Unit is Hours or Story points, where the work items carry points. See Story points.
  • Weeks back adds the last 2 or 4 weeks: what was logged or finished. See Weeks back.
  • Space counts only the work items in the spaces you pick.
  • People shows only the people you pick.
  • Role shows only the people with the roles you pick, where roles are named.
  • Rows shows a row per person, role, epic or space. See Roles and rows.
  • Over capacity shows only the people over capacity.
  • Include tentative counts tentative bookings, or leaves them out. It is drawn only where a tentative booking counts in the plan, and is on until you switch it off. See Book time.

Each is drawn only where it can apply: no Unit where nothing carries points, no Role where no roles are named.

Book time and Placeholder are above the table, for the people who may book. Copy link gives the page as it is: every choice is in the address. Download, then Excel or CSV, gives what is on screen, with the booking lines and the placeholder rows.

Recalculate

A plan is kept for ten minutes, without names, so a page opens at once. Recalculate, with the age of the plan, reads Jira again.
