Jira workload by person: who is over capacity

Jira Cloud, dashboards and work items.

Workload by person is the question a lead asks every Monday: who has too much on, and who has room? This page says what Jira shows by itself, then how to put the answer where the team already looks, on a dashboard.

What Jira does by itself

A dashboard can show a filter’s results, and count work items by assignee. That is a count of work items, not of hours: a person with two large work items looks lighter than one with five small ones. To get hours you add the time tracking columns to a search and total a person’s Remaining estimate, and even then it is a total with no weeks in it and no idea how many hours the person can work.

What Workline does

Workline is our app. Its plan, under Apps › Workline, puts each person’s planned hours against the hours they can work, week by week, and its counts say how many people are over capacity and how many have time free. Press Over capacity in the filters to show only the first.

The Workline gadget puts it on a dashboard: Add gadget, then pick Workline. It shows each person’s next four weeks, over capacity first, as the plan’s lozenges: green to 100%, yellow to 120%, red past it. Edit picks the spaces, a saved filter or a JQL search, and a Team if you like. Each person who opens the dashboard counts only the work items they may browse, and Open in Workline goes to the plan on the same scope.

Work with no dates and no sprint is not in any week: it is in the plan’s Unscheduled column, so a quiet week is never quiet because work went undated.

When the gadget shows someone over, open the plan and open the menu (⋯) of one of their work items and press Move to give it to someone with room. Workline changes nothing in Jira unless you press Move or Apply (on dates for work with none).

See Getting started for where the gadget is, and Team capacity per sprint in Jira for checking a sprint. Back to Workline.
