Jira resource planning by person
Jira Cloud, work items and time tracking.
Resource planning by person asks what each of your people has on, and when. In Jira the answer is spread over work items. This page says how to gather it by hand, then how Workline shows it as a row per person.
What Jira does by itself
A work item has one assignee, so a person’s load is their open work items. Find them with a search, one person at a time:
assignee = "Sam Lee" AND statusCategory != Done ORDER BY duedate
Sort by due date and add the Remaining estimate column, and you have the person’s list and its hours. It is one search per person, and the list says when each work item is due but not how its hours fall across the weeks: ten hours due on a Friday and ten hours due in a month look the same in the total. A dashboard can count work items per person, not hours per week.
What Workline does
Workline is our app. Apps › Workline has one row per person, with each week’s planned hours against the hours they can work. Open a person’s row to see their work items, each with its hours in each week.
Hover a planned cell to see where its weeks came from: the work item’s start and due dates, the dates of its sprint, or the person’s own hours a day from its start date when it has a start date alone. A work item with no dates and no sprint is in the Unscheduled column with its hours. A work item past its due date or its sprint’s end is planned for today and marked Late, and an amber box lists them.
When a parent and its children both carry a remaining estimate, the children’s count and the parent’s own value is named in a grey line, so the same hours are never counted twice. Work with nobody assigned is in no one’s row; a grey line says how many work items and hours.
Narrow the rows with Team, Space, People and Over capacity, copy a link with every choice in the address, and download the plan as Excel or CSV.
Time with no estimate behind it is a booking: under an opened person, a line such as Booked 50% says what it is for and adds its hours to their weeks. Where it sits on a space, an epic or a work item it counts the larger of the booking and the estimated work in it, never both. Workline changes nothing in Jira unless you press Move or Apply (on dates for work with none).
See Book time to book it, Teams to plan one group at a time, and Jira capacity planning for the whole picture. Back to Workline.
