Make the invoice in Xero or QuickBooks
Lesson 4 of 6
Logline writes the billable lines as a file Xero or QuickBooks imports as draft invoices. You will download the file, import it, and finish each draft there. Logline makes no invoice and sends nothing: the file is the lines, the invoice is yours.
Before you start, set hourly rates. The two downloads appear only for a report with billable time and rates.
Download the file
-
Open Apps › Logline, then set Scope, Period and Rows as for the timesheet PDF. Each client’s work should be its own row.
-
Select Show report.
-
Select Download, among the buttons on the line with Period and Show report, then Xero or QuickBooks.

The report’s buttons: Download for Xero and Download for QuickBooks at the end
The file has one line per work item and rate. The hours are the quantity, in decimal hours, and the rate is the unit price.
Import it in Xero
- In Xero, open Sales › Invoices. In an older menu it is Business › Invoices.
- Select Import, then pick the file.
- Match the columns if Xero asks, and check the preview.
- Select Complete import. The invoices arrive as drafts.
Xero takes about 500 lines in a file. Split a longer one by period or client.
Import it in QuickBooks Online
- In QuickBooks Online, select the Settings gear, then Import data.
- Select Invoices and pick the file.
- Match the columns on the import screen, and pick YYYY-MM-DD as the date format.
- Turn on Custom transaction numbers to keep the invoice number.
- Finish the import. The invoices arrive as drafts.
QuickBooks takes at most 1,000 lines in a file, and does not import invoices this way when sales tax is set up in your account.
Finish each draft
Logline does not know your invoice numbers, accounts or tax, so it fills what it can:
- The customer is the client the PDF names. It must match your Xero contact or QuickBooks customer exactly.
- The invoice number is DRAFT, the day and a number, such as DRAFT-20261103-1: one per client.
- The invoice date and due date are the day you downloaded the file.
- The account and the tax rate are blank.
On each draft, set the invoice number, the account and the tax, then check the due date and approve it.
If you don’t see it
- No Xero or QuickBooks in the Download menu: the report has no billable time, or no hourly rates.
- The customer is not found: its name differs from the client’s name in the file. Change one so they match.
- A different menu in Xero or QuickBooks: both change their menus. Their own help for importing invoices has the current path.
What you now have
Draft invoices for each client, with hours and rates from Jira’s worklogs, ready for your number, account and tax. Next, set a budget so you see what is left before the invoice is due.
