Send a timesheet PDF

Lesson 3 of 6

A timesheet PDF is the billable work for one client and one period, in a file you can send with your invoice. You will build the report, download the PDF and check what it holds. Nothing is sent from Logline: you send the file yourself.

Before you start, choose what is billable and set hourly rates if the PDF should show amounts. Without billable time in the report there is no PDF button.

Download the PDF

  1. Open Apps › Logline.

  2. Set Scope to Spaces and pick the client’s space in Spaces.

  3. Set Period to the month you are billing, such as Last month.

  4. Set Rows to Space, Epic or your client field, so each client’s work is its own row. The PDF names the client from the row a work item sits under: a space, an epic, or a field such as Client. Otherwise it uses the report’s name.

  5. Select Show report.

  6. Select Download, among the buttons on the line with Period and Show report, then PDF.

The report’s billing downloads: Download PDF, Download for Xero and Download for QuickBooks.
The report’s billing downloads: Download PDF, Download for Xero and Download for QuickBooks

What is in the PDF

The first page of the timesheet PDF Logline downloads: the period as its title, 1 Sep – 30 Sep, the Jira site and when it was downloaded; Billable hours 404h 30m, Rates, and Amount; then the work items by space with hours, rate and amount, and a Total row, with “Made with Logline” at the foot.
The first page of a timesheet PDF
  • The client, or the report’s name, the period, your Jira site and the day it was made.
  • The billable hours, the rate or rates and the amount.
  • One line per work item and rate, with its hours, rate and amount, then the total.
  • In the Worklogs view, each line lists its worklogs under it, oldest first, with the author and the comment when the view shows them. Past 2,000 worklogs the PDF lists the work items only.

Time that is not billable and cost are never in it. Pages are A4 and numbered, with the header row repeated. Each ends with “Made with Logline · lineset.dev/logline” unless a Jira admin turned it off in Settings.

If you don’t see it

  • No PDF in the Download menu: the report has no billable time. Check the period, and that the work is billable.
  • No amounts in the PDF: no rate applies.
  • A letter prints without its accent, or as “?”: the PDF’s font cannot draw every letter. A line at the end says so. The Excel and CSV files keep every character.
  • Not the client’s name at the top: the Timesheet’s rows are not spaces, epics or a client field. Set Rows as in step 4, or name the saved report after the client.

What you now have

A timesheet for one client and one period, built in your browser: nothing is sent anywhere. Excel and CSV in the Download menu, and the rest of the file’s contents, are in Exporting. Next, put the same lines on an invoice in Xero or QuickBooks.
